Indian Resume Format 2026: Sample and Rules for India Jobs

The Indian resume format for private-sector jobs is a concise reverse-chronological resume: a headline, short profile, work experience, skills, education and certifications. Keep it to one page as a fresher and two at most with experience, and add your notice period. Leave out the photo, date of birth, father's name, religion and marital status unless a form asks.

Government and PSU applications are the exception: they run on prescribed forms that collect your date of birth, category, photo and signature, and usually end with a signed declaration. This guide covers both, with a complete sample for an experienced professional.

Which Indian Format Do You Need?

You are applying toUseKey differences
Private companies (IT, BFSI, FMCG, startups, MNCs)A resume, one to two pagesNo personal details; notice period worth stating; ATS-friendly layout
Campus placementsYour placement cell's templateFollow it exactly, including any declaration or photo it requires
Central and state government, PSUs, public sector banksThe official online form, plus a resume only if askedDate of birth, category, photo, signature and a declaration are part of the form
Jobs abroadThe destination country's formatSee our Gulf, UK and Canada guides
Marriage or family purposesA biodataNot a job document at all; see biodata vs resume vs CV

If you are a fresher, our fresher resume guide covers the one-page, education-first version. The rest of this page is about professionals with work experience.

The Indian Resume Format, Section by Section

1. Header and headline

Key Account Manager, Modern Trade | 7 Years in FMCG Sales | Notice Period: 60 Days

A one-line headline under your name works the way the headline on a job portal profile does: recruiters searching a database see your role, experience and availability at a glance. Our resume headline examples show more patterns.

Notice period is the one logistics detail worth putting on an Indian resume, because recruiters routinely filter on it. Write it exactly as your contract states it, and mention if it is negotiable or if you are serving it ("Serving notice, last working day 15 Nov 2026").

2. Profile summary

Three or four lines: your role, years of experience, the scale you work at and one concrete result.

Key account manager with seven years in FMCG sales, currently managing two national modern-trade chains for a personal care brand. Grew the brand's shelf share in both chains through joint business plans and in-store visibility programmes. Looking for a national key account role in FMCG or consumer durables.

3. Work experience

Most recent first. For each role: designation, company, city, month and year, then four to six bullets about results, not duties.

Key Account Manager, Modern Trade Apr 2022 – Present
Meadow Personal Care Ltd., Mumbai
• Manage two national retail chains across 300+ stores
• Negotiate annual joint business plans covering listings, promotions
  and visibility
• Launched a quarterly category review with each chain's buying team
• Lead a team of three key account executives

Use the designation exactly as it appears on your offer and relieving letters. Indian employers commonly run background verification on education and employment, and mismatched titles or dates are what slow it down. Keep your dates consistent with your relieving letters and with your Provident Fund records under your UAN on the EPFO portal.

4. Skills

Group them, and use the words the job description uses:

Sales: Key account management, JBP negotiation, trade marketing, P&L
Analytics: Nielsen retail audit, secondary sales analysis, Excel, Power BI
Tools: SAP SD, Salesforce
Languages: English, Hindi, Marathi

5. Education

Highest qualification first, with institution, year and, if it helps you, CGPA with its scale ("CGPA 8.1/10") or percentage. Experienced candidates can drop Class X and XII marks unless the employer asks for them; freshers usually include one line for each.

6. Certifications, awards and languages

Professional certifications (CA, CFA, PMP, AWS, NISM), awards with a one-line reason, and languages. Indian recruiters value languages for customer-facing and regional roles, so list the ones you can work in.

What Indian Recruiters No Longer Need

Older Indian resumes carried a block of personal details. For private-sector jobs, cut them:

DetailKeep?Why
PhotoNo, unless the employer asksAdds nothing to a shortlist and can confuse parsing software
Date of birth, ageNoNot needed for private-sector shortlisting
Father's name, mother's nameNoBelongs on a biodata or government form
Religion, caste, marital statusNoIrrelevant to the job; some of it is sensitive data
Full postal addressCity is enoughYour address goes on the joining form
PAN, Aadhaar, passport numberNeverIdentity numbers belong on the joining paperwork, not on a file that gets forwarded
Current and expected CTCOptionalMany candidates give it in the application form or email instead, where it stays private
DeclarationOptionalExpected for government applications; see declaration in a resume

India's Digital Personal Data Protection Act, 2023 sets rules for how organisations process digital personal data. You don't need to cite it on a resume, but it is a good reason not to put identity numbers and family details into a document that moves between recruiters, portals and inboxes.

CTC and Notice Period: Where They Go

CTC (cost to company) is how Indian employers express annual pay, usually in lakhs per annum (LPA). Recruiters will ask for current and expected CTC early, often in the application form. Putting it on the resume is optional; leaving it off keeps your number private if the resume is forwarded, and you lose nothing because the form or the first call will ask.

Notice period is different: it decides whether you can start when the team needs you, so it belongs in your headline or under your contact details.

Government and PSU Applications

Government recruitment works differently from private hiring:

  • Apply through the official form. Notifications from recruitment bodies specify eligibility (age limits, qualifications, category), and the form captures your date of birth, category certificates, photo and signature.
  • Self-declaration, then originals. The Department of Administrative Reforms and Public Grievances asked ministries and state governments in a 10 May 2013 office memorandum to accept self-certified documents instead of attested copies or affidavits, with originals checked at the final stage. That is why government formats end with a signed declaration.
  • If a resume is asked for, include the personal details the notification specifies, and close with the formal declaration from our declaration samples.

Where to Find Jobs Without Paying Anyone

The Ministry of Labour and Employment's National Career Service (NCS) is free, and it warns jobseekers that NCS does not charge fees at any stage and that "jobseekers should not pay fees to employers." Treat any recruiter or "placement agency" that asks for money to forward your resume as a red flag. For graduates and diploma holders looking for structured training, the government's Apprenticeship India portal lists apprenticeship openings.

What makes it work: the headline answers role, experience and availability; every bullet shows scale or a result; nothing on the page is a personal detail a private employer doesn't need. It fits on two pages.

Common Mistakes on Indian Resumes

  1. A personal details block with date of birth, father's name and religion on a private-sector resume.
  2. "Objective: to work in a reputed organisation..." at the top of an experienced resume. Use a profile summary that names your role and a result.
  3. Duties instead of results. "Responsible for sales" tells a recruiter nothing.
  4. Titles and dates that don't match your relieving letters, which slows down background verification.
  5. Two-column templates with photos and skill bars, which job-portal parsers often read badly.
  6. Paying a "consultant" to forward your resume.

Build It in ResumeFast

In the ResumeFast resume builder you can add your headline and notice period, leave the photo and date of birth fields empty for private-sector versions, and keep a second copy with personal details for a form that asks for them. Building is free, your first PDF or Word download is free, and plain text downloads are always free. Check your resume against the job description with the free keyword matcher before applying, and see the accountant and software engineer examples for two of the most common Indian career paths.

What is the best resume format for jobs in India?

A reverse-chronological resume of one to two pages: header with a one-line headline, profile summary, work experience with results, skills, education and certifications. Freshers put education and projects first and keep it to one page. Government jobs use the official application form instead.

Should I mention notice period on my resume?

Yes, for experienced roles in India. Recruiters often filter candidates on notice period, so add it to your headline or under your contact details, exactly as your contract states it, and say if you are already serving it or it is negotiable.

Should I mention current CTC on my resume?

It is optional. Recruiters will ask for current and expected CTC in the application form or first call anyway. Leaving it off the resume keeps the figure private when the file is forwarded between recruiters and portals.

Should I add a photo and date of birth to an Indian resume?

Not for private-sector jobs unless the employer asks. Shortlisting doesn't need them, and photos can confuse parsing software. Government and PSU applications are different: the official form collects your date of birth, photo and signature.

Is a declaration needed in an Indian resume?

Only for government, PSU and some teaching or campus placement formats, which still expect a signed self-declaration at the end. Private employers don't need it. Our declaration guide has eight samples to copy.
