Resume Date Format: How to Write Employment Dates

The best resume date format is the month and year, written the same way for every job: "Mar 2022 - Present". It tells a recruiter exactly how long you stayed, and it gives an ATS parser a month and a year to store. Year-only dates are acceptable for older roles, but parsers fill in the missing months, so "2022 - 2023" can be stored as two full years.

Dates are the most-read line on a resume and the least thought-about. A recruiter's eye goes down the right-hand margin to check tenure and gaps. A parser turns every range into a start date, an end date and a number of months. Get the format wrong and the two readers can come away with two different careers.

The Best Resume Date Format: Month and Year

Write each employment date as an abbreviated month and a four-digit year, joined by a hyphen or the word "to". Put the range on the same line as the job title or employer:

Data Analyst | Riverbend Health, Columbus, OH | Feb 2023 - Present

Junior Data Analyst | Tallgrass Insurance, Columbus, OH | Jul 2020 - Jan 2023

Three rules cover almost everything:

  • One format everywhere: jobs, education and certifications.
  • Month and year for recent roles. Years alone are fine for jobs more than about ten years old, if you use them for all of those older jobs.
  • "Present" for your current job, never a future date.

How Common Date Formats Read to Recruiters and Parsers

Parsers can only store what you write, and some formats leave them guessing. The parser column below uses Textkernel's public documentation for its resume parser, one of the major parsing engines; other parsers may behave differently, so treat it as a guide to what can go wrong, not a rule for every ATS.

FormatExampleWhat a recruiter readsWhat a parser can storeVerdict

Range split over lines2022 / - / 2024 in a narrow columnFine on screenFlagged as a fatal problemAvoid

The year-only row is the one that surprises people. Textkernel's API reference says that when a parser can't find the month or day, a start date gets "01" and an end date becomes "YYYY-12-31". So a contract that ran from November 2022 to February 2023, written as "2022 - 2023", can be stored as January 2022 to December 2023: 24 months instead of 4. A recruiter reading "2022 - 2023" may round the same way, until a background check shows the real dates.

The last two rows come straight from the same vendor's resume quality checks, which list "The Employment section did not provide dates for jobs" and "Dates ranges were found written vertically on multiple lines" among the fatal problems. Two-column templates that squeeze dates into a narrow side column are the usual cause of the second; our guide to columns and tables in ATS resumes explains why.

How to Write "Present" on a Resume

Use "Present" (or "Current") as the end date for the job you have now, and only for that job. Textkernel's parser records this with a flag that is true when a date "represents '- current' and not an actual date", and it interprets "current" relative to the date the resume was last modified, which the software sending the resume has to supply. That's why:

  • Change "Present" the week you leave. A resume already saved in an employer's database keeps saying you work there.
  • Don't write a future end date. For a fixed-term contract, write "Present" and put the end in words: "Contract Analyst (contract through Dec 2026) | Jun 2025 - Present".
  • Give "Present" to one title per employer. If you were promoted, the old title gets a real end date. The same quality checks flag "more than one current job was found with the same employer". Our guide on how to show a promotion on your resume shows the stacked format.

Two current jobs at two different employers are fine; that's just two jobs.

How to List Overlapping Jobs

List both jobs with their true dates, and label the smaller one so the recruiter doesn't have to guess. "(part-time)", "Freelance" or "Weekend shifts" after the title does the work:

Data Analyst | Riverbend Health, Columbus, OH | Feb 2023 - Present

Freelance Dashboard Developer (part-time) | Self-employed | Jun 2023 - Present

Put your main job first. Overlap doesn't confuse a well-built parser: Textkernel's output links each position to the other positions "that have overlapping dates", and its total months of experience don't double-count overlapping ranges. What confuses readers is overlap that looks like a typo, such as a new job starting a month before the old one ended with no explanation. For agency, contract and freelance work that overlaps, see how to list contract work on a resume.

Gaps: What Your Date Format Shows

Month-and-year dates show short gaps, and that's fine. A two- or three-month gap between jobs is normal, and switching your recent jobs to year-only dates to hide one tends to backfire: a format that changes halfway down the page draws the eye to exactly that spot.

For a longer gap, give it a line of its own with dates, like any other entry:

Career break: family caregiving | Jun 2023 - Feb 2024

Our guide to explaining a resume gap or career break has wording for parenting, health, layoffs and sabbaticals.

Applying in Germany? German CVs usually write dates as MM/YYYY and explain gaps of a few months right in the CV. Our sister site Lebenslauf AI explains how to word gaps in a German Lebenslauf (the page is in German).

Date Format Checklist

Run through this before you send:

  • Every job, degree and certification uses the same date format.
  • Recent jobs show month and year; any year-only dates are on older jobs only.
  • Each range sits on one line, on the same line as the title or employer, not in a separate column, table or text box.
  • Only your current job says "Present", once per employer.
  • Stacked titles at one employer each have their own dates, and they meet without a false gap.
  • Overlapping jobs are labeled (part-time, freelance, contract).
  • Graduation years on old degrees are a deliberate choice; see how far back a resume should go.
  • The dates match your LinkedIn profile and anything you've typed into an application form.

Frequently Asked Questions

What is the correct date format for a resume?

Use the abbreviated month and a four-digit year, such as 'Mar 2022 - Jun 2024', and use the same format for every job, degree and certification. Numeric month and year (03/2022) also works if you use it consistently.

Should I include months on my resume or just years?

Include months for recent jobs. Years alone hide how long you stayed, and parsers fill in missing months, so a short job written as '2022 - 2023' can be stored as two full years. Years only are acceptable for roles more than about ten years old.

How do I write the dates for my current job?

Write the start month and year followed by 'Present', for example 'Feb 2023 - Present'. Don't use a future end date, and change 'Present' to the real end month as soon as you leave.

How do I list two jobs at the same time on a resume?

List both with their true, overlapping dates and put your main job first. Label the smaller one, for example 'part-time' or 'freelance', so the overlap reads as deliberate rather than as a mistake.
